Getting started
- How do I switch from my current POS to Vaansa?
- Start the free trial, import your menu (CSV or by hand), set your tax rate, and open a shift. Most owners are live in an afternoon. You can run Vaansa alongside your old system for a few days before you fully switch — there is no lock-in and you can export everything at any time.
- Do I need new hardware to run Vaansa?
- No. Vaansa runs in any browser — the tablet, phone or desktop you already have. There is no proprietary terminal to buy. A receipt printer and cash drawer are optional and use standard connections.
- Is there a setup fee or onboarding charge?
- No. Setup takes about 15 minutes. Import your menu, set your tax rate, open a shift. Guides and live support are there if you get stuck.
- Which plan does the free trial cover?
- The full Owner plan — every module, every report, no limits. You see the whole product, not a stripped-down version. The trial is 14 days and needs no credit card.
Pricing & billing
- How much does restaurant management software cost?
- It ranges from free (limited, ad- or payment-fee-funded) to enterprise contracts of hundreds of dollars a month. Vaansa is a flat monthly subscription priced in your local currency — NPR, INR, AED, USD or MXN — with no per-transaction fees, so the cost doesn't grow as your sales do.
- Do you charge per transaction?
- Never. Flat monthly subscription. You process Rs. 10 lakh or Rs. 10 crore — the price is the same.
- Is there free restaurant management software?
- Many tools advertise a free tier, but it's usually billing-only and makes money on per-transaction payment fees. Vaansa isn't free, but every plan starts with a full 14-day free trial — no credit card — and pricing is a flat monthly subscription with no percentage skim on each order.
- What happens after the 14-day trial?
- You choose a plan and pay. If you don't, your data stays safe for 30 days while you decide. There is no automatic charge.
- Can I cancel any time?
- Yes. Monthly plans cancel at the end of the billing period. Annual plans are non-refundable after 30 days.
- Do you support multiple locations?
- Yes — the Group plan covers 3+ outlets with consolidated reporting. Talk to us for custom pricing.

- How does Vaansa know my profit and not just my sales?
- Every menu item is tied to a recipe, so each order subtracts its real food cost. Add labour and expenses and Vaansa assembles an actual profit-and-loss statement — revenue minus COGS, payroll and costs — by shift, day and month, rather than charting revenue alone.
- Does Vaansa handle inventory and recipe costing?
- Yes. Vaansa tracks stock by ingredient, links each dish to its recipe for gross-margin-per-plate, watches velocity and lead time, and drafts the purchase order before you run out. You approve — it reorders.
- Can I export reports to Excel?
- Yes. Every report — P&L, shift-close, sales, inventory, payroll and the analytics suite — exports to Excel/CSV, so your accountant works in the format they already use.
- Does Vaansa produce tax-compliant bills?
- Yes. Vaansa issues tax-ready bills for your market — GST in India, VAT in the UAE, and local tax formats in Nepal, Bangladesh, the USA and Mexico — with shift-close reports you can hand straight to your accountant.
- Does Vaansa have an AI assistant?
- Yes. You can ask questions of your own data in plain language — 'which dish lost me money last month?' — and Vaansa answers from your numbers. It also forecasts demand and flags anomalies before they cost you.
- Can I use Vaansa on mobile, and does it work offline?
- The POS and kitchen display run in any browser — tablet, phone or desktop — with no app download for the front of house. Core POS operations handle brief connectivity drops; full offline mode is on the roadmap.

- Does Vaansa support Nepali and Devanagari?
- Yes. Vaansa (भान्सा — 'kitchen') is built for Nepali restaurants, with Devanagari support and local payment methods (eSewa, Khalti, FonePay) alongside cash, QR, card and split payments.
- Is my data safe?
- All data is encrypted in transit and at rest. We do not sell your data, and you can export everything at any time.
