1. Overview

Vaansa ("we", "us", "our") operates restaurant management software used by owners across the world. This Privacy Policy explains what data we collect when you use Vaansa, why we collect it, how we protect it, and what rights you have over it. We do not sell your data. We do not share your restaurant's financial data with advertisers. Your business numbers are yours.

2. Your restaurant data is yours

Menu items, recipes, ingredient costs, inventory records, purchase orders, staff details, shift records, sales transactions, cash reconciliation, revenue figures, COGS, payroll, and P&L snapshots — this is your data. Vaansa does not collect it. You enter it, you own it. We store it on your behalf so you can access it from anywhere. We do not analyse it for advertising, share it with third parties, or use it for any purpose beyond running the Service for you. You can export all of it at any time. When you close your account, it gets deleted.

3. Data we do collect

Account data

Name, email address, phone number, restaurant name, address, and billing information you provide when creating or managing your account.

Usage data

Pages visited, features used, session duration, device type, browser, and IP address — collected automatically to improve the product.

Support data

Any information you share when contacting our support team, including messages, screenshots, or attachments.

4. How we use your data

  • Provide, maintain, and improve Vaansa's features
  • Process payments and send billing notices
  • Send transactional emails (password resets, invoices, subscription updates)
  • Send product updates and announcements — you can unsubscribe at any time
  • Respond to support requests
  • Comply with legal obligations (e.g., tax reporting, fraud prevention)
  • Detect and prevent fraud or abuse

5. Who we share data with

We share your data only when necessary to operate the service:

  • Payment processors (e.g., Stripe, Khalti, eSewa, Razorpay) to handle subscription billing — they receive only what is required to complete the transaction
  • Analytics tools (aggregated, anonymized usage data only — never your financial or restaurant data)
  • Government or regulatory authorities if required by law

We do not sell, rent, or trade your personal or restaurant data to any third party.

6. Data storage and security

Your data is stored on servers in Asia-Pacific regions. We use industry-standard security practices:

  • Encryption in transit (TLS) and at rest
  • Role-based access controls — Vaansa staff access your data only to provide support, and only with your knowledge
  • Regular backups with point-in-time recovery
  • Routine security audits

No system is perfectly secure. If a breach occurs that affects your data, we will notify you within 72 hours of becoming aware of it.

7. Data retention

We retain your data for as long as your account is active. If you close your account:

  • You can export your data in full before closing
  • We delete your operational and financial data within 90 days of account closure
  • Billing records and compliance-related data may be retained for up to 7 years as required by law

8. Your rights

Regardless of where your restaurant operates, you have the right to:

  • Access a copy of all personal data we hold about you
  • Correct inaccurate data
  • Delete your account and personal data (subject to retention requirements above)
  • Export your restaurant data in a portable format
  • Withdraw consent for non-essential communications

9. Cookies

Vaansa uses essential cookies to keep you logged in and remember your preferences. We use analytics cookies (first-party only) to understand how the product is used. We do not use advertising or tracking cookies. You can disable cookies in your browser, but this will affect your ability to use the product.

10. Children

Vaansa is a business software product. We do not knowingly collect data from individuals under 18. If you believe a minor has created an account, contact us at info@vaansa.com and we will remove it promptly.

11. Changes to this policy

We may update this policy as the product evolves or regulations change. When we make material changes, we will notify you by email and display a notice in the app at least 14 days before the change takes effect. Continued use of Vaansa after the effective date constitutes acceptance.
